How Two-Factor Authentication Works

When Two-Factor Authentication (2FA) has been enabled for your organisation, users will continue to log in using their normal username and password.

New Users (Default Experience) #

The first time a user logs in after 2FA has been enabled, Email One-Time Password (OTP) is automatically used as the verification method.

The user will:

  1. Enter their username and password.
  2. Receive a One-Time Password (OTP) at their registered email address.
  3. Enter the OTP to complete the login.

No additional setup is required.

Email OTP is the default authentication method for all users.


Enabling Google Authenticator (Optional) #

Users who would like to use Google Authenticator can enable it at any time after logging in.

To enable Google Authenticator:

  1. Log in using your normal Email OTP verification.
  2. Click your Profile icon in the top-right corner.
  3. Select Two Factor Login.
  4. Click Enable next to Enable Authenticator App.
  5. Scan the QR code using the Google Authenticator app.
  6. Enter the six-digit verification code to complete the setup.

Once setup is complete, your account will be linked to Google Authenticator.


Choosing Your Authentication Method #

Before Google Authenticator has been configured, Email OTP is automatically used and no selection is required.

After Google Authenticator has been successfully enabled, HRSimplified will display a verification method drop-down during login, allowing you to choose between:

  • Email One-Time Password (OTP)
  • Google Authenticator

This gives users the flexibility to continue using Email OTP or switch to Google Authenticator whenever they log in.

Why don’t I see the authentication method drop-down? #

The authentication method selection is only displayed after Google Authenticator has been configured.

Until then, HRSimplified automatically sends a One-Time Password (OTP) to your registered email address each time you log in.
