Why Leave Accrual Is Structured This Way #
At HRSimplified, we believe growing businesses need clean, predictable HR cycles that align with payroll, financial reporting, and leave liability calculations.
That’s why Annual Leave accrual runs on a company-wide monthly cycle, not individual employee anniversary dates.
This ensures:
- Accurate leave liability reporting
- Consistent payroll alignment
- Clean month-end processing
- Simplified financial forecasting
Which Leave Types Accrue Monthly? #
✅ Annual Leave #
- Accrues monthly
- Runs on a company-wide cycle
- Allocated at midnight on the 1st of each month
❗ All Other Leave Types #
(Sick Leave, Family Responsibility Leave, etc.)
- Do not accrue monthly
- Reset based on the employee’s anniversary date
- Follow their own leave cycle rules
Annual Leave is the only leave type that follows the structured monthly accrual model.
When Does Annual Leave Accrue? #
Annual Leave accrual:
- Happens at midnight on the 1st of every month
- Applies to all employees simultaneously
- Is not based on the employee’s start date anniversary
Example: Employee Start Date #
If an employee starts on:
15 March
They will NOT receive accrual on 15 April.
Instead:
- Their first full monthly accrual will reflect on 1 April
- Thereafter, accrual will continue on the 1st of every month
Why?
Because the entire company must fall into the same accrual cycle for:
- Payroll processing
- Leave liability calculations
- Financial reporting consistency
This ensures clean, predictable reporting across all departments.
Important: Probation Period & Sick Leave #
HRSimplified does NOT automatically manage probation restrictions.
For example:
If your policy states:
Employees do not receive sick leave during their first 6 months
The system will not automatically enforce this.
The HR Administrator must:
- Go to the Employee Profile
- Navigate to Leave Balances
- Manually adjust the Sick Leave balance as required
The system gives HR full control — but probation-based leave restrictions must be handled manually.
Why Annual Leave Is Structured This Way #
Using a company-wide 1st-of-the-month accrual:
- Keeps payroll aligned
- Simplifies leave liability reporting
- Ensures consistent financial calculations
- Prevents fragmented accrual cycles
- Makes reporting clean for auditors and finance teams
This approach is intentional and designed for operational and financial clarity.
