Purpose #
The Direct Award feature in HRSimplified allows managers and HR administrators to recognize individual employee achievements instantly. This guide explains how to assign awards directly, with the option to have approval for streamlined processing.
Steps to Assign an Award Directly #
1. Setting Up the Achievement #
Before assigning an award, ensure the achievement is created and available for assignment.
- Navigate to Setup:
- Go to the Setup menu and select Create Achievement.
- Enter Achievement Details:
- Achievement Name: Give the award a clear, recognizable name (e.g., “Good Performance” or “Project Milestone”).
- Description: Provide a description explaining the award’s purpose and criteria.
- Achievement Type: Select the category that best represents the award (e.g., “Monthly Recognition,” “Special Contribution”).
- Badge and Points:
- Choose a badge color (e.g., Bronze, Silver) to visually represent the award.
- Set the points value to contribute to the employee’s cumulative score.
- Save the Achievement:
- Click Save to finalize the achievement setup. The award is now available to assign to employees within the organization.
2. Assigning the Award to an Employee #
Once the achievement is created, you can assign it directly to an employee. Here’s how:
- Navigate to Assign Awards:
- In the Setup menu, select Create Employee Achievement from the action menu.
- Select Employee and Award Details:
- Employee: Choose the employee you wish to recognize from the dropdown list.
- Achievement: Select the award from the list of available achievements.
- End Date: Set an end date for the award if applicable, or leave it open for ongoing recognition.
- Submit for Approval:
- Click Save to submit the award for approval. This sends the award request to the Approvals menu for a manager or HR to review.
3. Approval Process #
Once submitted, the award will appear in the Approvals menu for review.
- Approving or Rejecting Awards:
- Managers or HR administrators can access the Approvals menu to review pending awards.
- They can either approve the award, which assigns the badge and points to the employee, or reject it with feedback.
- Automatic Approval Option:
- For faster processing, administrators can enable Automatic Approval in Workflow Settings.
- With Automatic Approval enabled, all direct awards bypass the approval step and go straight to the employee’s profile. This is useful for frequent, low-impact recognitions that don’t require additional oversight.
When to Use Direct Awards #
Direct awards are ideal for quickly recognizing individual accomplishments that don’t require team input. Examples include:
- Performance-Based Recognitions: Awards for meeting performance targets or project milestones.
- Service Milestones: Awards for anniversaries or years of service.
- Instant Acknowledgements: Quick recognitions for positive behavior, such as teamwork or innovation.
Direct awards can be used to acknowledge achievements immediately, reinforcing positive behaviors in real-time.
