Tracking and Managing Completed Surveys

Track and ManaOnce a survey has been assigned to employees, HRSimplified provides an easy way to track their progress and manage survey responses. For non-anonymous surveys, responses are tied directly to each employee’s record, allowing HR to view the status and answers both before and after submission. This guide covers how HR can track and manage completed surveys effectively.

Steps to Track Survey Progress: #

1. Navigate to the Survey Management Section #

  • Log in to HRSimplified and go to the Survey Management section from the main menu.
  • In this module, you will find a list of all surveys assigned to employees, along with their current status (e.g., pending, completed).

2. View Assigned Surveys #

  • For each survey, you can see whether it has been completed or is still pending.
  • Non-anonymous surveys will be linked to specific employees, and their progress can be viewed from both the Survey Management module and the employee’s personal record.

3. Employee Records and Assigned Surveys #

  • For non-anonymous surveys, any assigned survey will appear in the employee’s record, visible to HR even before the survey is completed.
  • To access this, go to the Employee Management section, select the specific employee, and scroll to the Assigned Items section.
    • Here, you’ll see not only surveys but also any other items assigned to the employee, such as performance reviews.
    • HR can open the survey to view its content, track progress, and check if the survey has been completed or is still awaiting submission.

Managing Completed Surveys: #

1. View Completed Survey Responses #

  • Once a non-anonymous survey is submitted, HR can access the survey through either:
    • The Survey Management section, where all surveys are centrally managed.
    • The employee’s record, under the Assigned Items section, where the survey and its answers are stored.
  • HR can see the full set of responses along with the date of completion.

2. Download Completed Surveys #

  • For reporting or auditing purposes, HR can download completed surveys as PDF files. This is useful for keeping a physical or digital record of employee feedback.

Tracking Anonymous Surveys: #

For anonymous surveys, while HR can still track overall completion progress, the responses will not be linked to any employee records.

  • HR can view anonymous survey results from the Survey Management section, but without any personal identifiers attached to the answers.
  • These responses are stored in a separate section, ensuring the anonymity of participants, and HR will only be able to see aggregated results.
