In HRSimplified, managers have the ability to create comprehensive performance review templates by adding open-ended questions and a peer review section. These features allow for both qualitative feedback and a 360-degree evaluation, making the performance review process more complete. Here’s how to do it.
Steps to Add Open-Ended Questions to a Template #
1. Access the Template #
- Log in to HRSimplified and navigate to the Performance Management module.
- Click on Templates in the left-hand menu to access the list of performance templates you have created.
- Select the template you want to edit, or click Create New Template to start building a new one.
2. Navigate to the Question Section #
- After setting up the KPAs and KPIs (as covered in the previous guide), scroll down to the Questions section in the template builder.
3. Add Open-Ended Questions #
- In the Questions section, click Add Question.
- You can enter open-ended questions that will prompt employees to reflect on their performance or provide feedback on specific topics.
Examples of Open-Ended Questions: #
- “How do you feel about your contribution to the team’s success this quarter?”
- “What challenges have you faced in achieving your KPIs, and how did you overcome them?”
- “In what areas do you feel you need further development or support?”
4. Save the Template #
- After adding all your open-ended questions, click Save to finalize the template.
Steps to Add Peer Review Sections to a Template #
1. Navigate to the Peer Review Section #
- Within the same template, locate the Peer Review section.
- You can choose to include a peer review section if you wish to collect feedback from colleagues or team members about the employee’s performance.
2. Edit or Add Peer Review Questions #
- HRSimplified provides four preloaded peer review questions. You can choose to edit these, remove them, or add new ones, depending on your specific requirements.
Example Peer Review Questions: #
- “How effectively does this employee collaborate with team members?”
- “How well does this employee contribute to the overall goals of the team?”
- “Does this employee demonstrate leadership when working with others?”
3. Assign Peers for the Review #
- When setting up the template, you will be able to assign specific peers who will provide feedback during the review process. These peers can be selected from the employee’s department or other teams, depending on the scope of the review.
Setting the Review Duration for Templates #
1. Choose a Review Schedule #
- While setting up the template, you can define how often the review will take place. HRSimplified allows you to set the review duration to be Annual, Half-Yearly, Quarterly, Monthly, or Weekly.
- The system will automatically unlock the self-assessment for the employee after the selected period:
- Annual Review: Unlocks after 11 months.
- Half-Yearly Review: Unlocks after 5 months.
- Quarterly Review: Unlocks after 2 months.
- Monthly Review: Unlocks after 2 weeks.
- Weekly Review: Immediately available for use.
2. Finalize the Template #
- Once the peer review section and open-ended questions are added, and the duration is set, click Save. The template will now be ready for use.
Assigning the Template to Employees #
Once the template has been finalized, it can be assigned to employees. During the assignment process, you can also select which peers will participate in the peer review.
