Assessment Due Dates and Review Timing

When assigning employees to a Performance Assessment, the system automatically calculates and populates the Due Date based on the Template Type selected when the Performance Template was created.

Examples include:

  • Annual Employee Review
  • Half-Year Employee Review
  • Quarterly Employee Review
  • Monthly Employee Review

The purpose of the automatically generated due date is to give employees visibility of their performance expectations throughout the review period.

Why Are Assessments Assigned Before They Can Be Completed? #

Performance Management is designed to help employees understand what is expected of them before their review takes place.

As soon as an assessment is assigned, the employee can view:

  • Their KPAs (Key Performance Areas)
  • Their KPIs (Key Performance Indicators)
  • The performance measures they will be evaluated against
  • Any assessment questions included in the template

This allows employees to work towards their objectives during the review period while clearly understanding how their performance will be measured.

Assessment Locking and Unlocking #

Although the assessment is visible immediately after assignment, the self-assessment section remains locked until the appropriate review period has passed.

For example:

Half-Year Review #

  • Assessment assigned today
  • Employee can immediately view all KPAs and KPIs
  • Assessment remains locked during the review period
  • Self-assessment unlocks approximately 5 months later
  • Employee completes the self-assessment before the final review date

Annual Review #

  • Assessment assigned today
  • Employee can immediately view all performance measures
  • Assessment remains locked during the review period
  • Self-assessment unlocks approximately 11 months later
  • Employee completes the self-assessment before the annual review

This approach ensures employees have continuous visibility of their goals and objectives while preventing assessments from being completed prematurely.

Manually Changing the Due Date #

The automatically generated due date is only a default recommendation based on the selected review cycle.

When assigning an assessment, administrators and managers can manually change the due date using the calendar selector.

This allows complete flexibility to:

  • Unlock an assessment immediately
  • Schedule an assessment for a specific date
  • Conduct probation reviews
  • Run ad-hoc performance reviews
  • Perform promotion or development assessments
  • Adjust review dates to meet business requirements

If the due date is changed to today’s date, the assessment can be made available immediately for employee self-assessment.

Employee Notifications #

The system automatically sends notifications to employees when:

  • A Performance Assessment is assigned
  • The assessment becomes available for completion
  • The assessment is approaching its due date

This ensures employees remain informed throughout the performance management process and have sufficient time to prepare and complete their assessments.
