How to Submit Leave on Behalf of an Employee

There may be situations where an employee cannot submit their own leave request (for example if they are in the field, on sick leave, or unable to access the system). In these cases, a manager can submit a leave request on behalf of the employee.

Follow the steps below to capture leave for an employee.


Step 1: Open the Employee List #

Navigate to:

HR Administration → All Employees

Managers will only see employees that report to them, ensuring the correct permissions and security.


Step 2: Select the Employee #

Find the employee you want to submit leave for.

You can:

  • Scroll through the employee list, or
  • Use the search bar to quickly find the employee.

Step 3: Open the Actions Menu #

On the employee row, click the Actions button.

From the dropdown menu, select:

Leave Application

This option allows the manager to submit a leave request on behalf of the employee.


Step 4: Capture the Leave Details #

Once selected, the leave application screen will open.

Complete the leave request details such as:

  • Leave type (Annual, Sick Leave, etc.)
  • Leave dates
  • Any required notes or supporting information

The leave request will be captured as if the employee submitted it themselves.


Step 5: Notifications #

Once the leave application is submitted:

  • The employee will receive an email notification confirming the leave submission.
  • The manager who submitted the leave will also receive confirmation.
  • Any approvers configured in the leave workflow will receive their normal approval notifications.

Important #

Submitting leave on behalf of an employee does not bypass the normal approval process.

The leave request will still follow the standard leave workflow and approval structure configured in the system.
