At HRSimplified, we believe performance management should inspire growth—not just track results. Our Performance Management module empowers SMMEs and growing businesses to align individual performance with strategic goals, while fostering continuous feedback, development, and accountability.

Process Walkthrough #

Step 1: Create Strategic OKRs #

  • Owner: HR Executive
  • Action: Define Organizational Objectives and Key Results (OKRs) that guide performance alignment across teams.

Step 2: Define Company-wide KPAs #

  • Owner: HR Executive (with Manager input)
  • Action: Establish a consistent list of Key Performance Areas (KPAs).

Step 3: Build and Customize the Performance Template #

  • Owner: Managers
  • Action:
    Managers build the assessment template by:
    • Selecting relevant KPAs from the list.
    • Defining measurable KPIs for each KPA.
    • Linking each item to an OKR.
    • Assigning a weight to each KPI.
    • Adding Open-ended Questions for qualitative feedback.
    • Including Peer Review Questions (use the 4 preloaded or customize).
  • Once finalized, the template is saved and published for assignment.

Step 4: Assign the Assessment #

  • Owner: Managers
  • Action:
    • Assign the template to one or multiple employees.
    • Select peer reviewers for each employee.
  • System Notification Only: The system sends a secure notification to each employee and peer reviewer prompting them to log in to complete their assigned assessments.

Step 5: Notifications and Reminders #

  • Owner: System
  • Action:
    • Sends a system-generated notification upon assignment.
    • Sends reminders close to the due date.
  • ✅ Employees must log in to the system to view and complete their tasks.

Step 6: Employee Self-Assessment #

  • Owner: Employee
  • Action:
    • Logs in and completes the self-assessment.
    • Scores each KPI.
    • Answers the open-ended questions.
    • Submits for Manager review.

Step 7: Manager Review & Development Planning #

  • Owner: Manager
  • Action:
    • Reviews and optionally adjusts scores (with justification).
    • Reads employee’s open-ended responses.
    • Adds:
      • Skills to Develop (from system skill list)
      • Recommended Training (from approved training library)
      • Mentorship Plan (select a mentor and define goals)
    • Includes overall review notes.
    • Submits the review back to the Employee.

Step 8: Employee Final Review #

  • Owner: Employee
  • Action:
    • Logs in to review updated scores, comments, and development suggestions.
    • Adds a final motivation or response.
    • Accepts and finalizes the review.

Step 9: Review Storage & Access #

  • Owner: System
  • Action:
    • Generates a PDF copy of the completed assessment.
    • Stores it securely in the Employee Record for future access/download.

Step 10: Mentor Engagement (If Assigned) #

  • Owner: Mentor
  • Action:
    • Logs in and sees mentorship assignment under My Performance.
    • Captures mentorship minutes, notes, and progress tracking over time.

Step 11: Optional Final HR Adjustment #

  • Owner: HR Executive
  • Action:
    • May adjust the final scores based on employee feedback/motivation.
    • Employee is notified of the adjustment and can view the update in their profile.

Notes on Skills & Training Recommendations #

  • Recommended Training Courses and Skills appear in the Employee Profile.
  • HR Admins can choose whether to schedule/book the training.
