HRSimplified provides various leave reporting options to help HR teams and managers track employee leave balances, leave requests, and liability data. Here’s how to generate leave reports based on your needs.
1. Leave Liability Reporting #
Leave liability reports are essential for monitoring potential financial obligations related to employee leave balances. These reports include sensitive information, such as salary details, and are available in the HR Administration section.
Steps to Generate a Leave Liability Report: #
- Navigate to HR Administration:
- Go to HR Administration in the main menu.
- Access Reports:
- In the Reports section, you’ll find the option to generate a Leave Liability Report.
- Select Employees:
- Choose the employees you want to include in the report. You can filter based on departments or select specific employees.
- Generate the Report:
- Once you’ve selected the employees, generate the report. The Leave Liability Report will provide you with detailed data on current leave balances, potential financial liabilities, and other related information.
Important Notes: #
- The Leave Liability Report includes salary information to accurately reflect the company’s potential liability.
- For full employee details, including leave balances, you can also generate an Employee Extract report, which will include comprehensive leave balance data.
2. Leave Request and Balance Reports #
For a broader view of leave requests, leave balances, and historical leave data, you can generate reports directly from the Leave menu. These reports help track individual leave applications, current balances, and historical balances for each employee on the first day of every month.
Steps to Generate Leave Request and Balance Reports: #
- Navigate to the Leave Menu:
- Go to the Leave section in the main menu.
- Access Reports:
- Under the Reports section, you will find several options for generating leave-related reports.
- Select Report Type:
- You can choose from:
- Leave Applications Report: View all submitted leave applications, including their status (approved, rejected, or pending).
- Leave Balances Report: Shows current leave balances for each employee.
- Historical Leave Balances: Displays the leave balance for each employee on the first day of every month, allowing you to track changes over time.

- Generate and Export:
- Once you’ve selected the report type and the relevant employees or date ranges, generate the report. You can export the data for further analysis.
