HRSimplified makes it easy to create and manage both external and internal training courses. This guide will walk you through how to add courses, manage them, and recommend training for employees based on performance reviews.
Steps to Create and Manage Training Courses: #
1. Navigate to the Training Courses Section #
- Go to HR Administration from the left-side menu.
- Select Training Management and then click on Training Courses.
2. Add a New Course #
- Click the Add New Course button.
- Provide the following details about the course:
- Course Name: Enter the name of the training course.
- Service Provider: Select one or more approved service providers from the list who offer this course.
- Course Description: Briefly describe the purpose and content of the course.
- Cost: Add the cost of the course (optional).
- NQF Level and SAQA ID
3. Add Course Modules (Optional) #
- If the course consists of multiple components or sections, you can divide it into modules.
- For each module:
- Add a title and a brief description.
- (Optional) Add external links to course materials, such as SharePoint files, YouTube videos, or third-party training platforms.
- Click Save Module.
4. Create Internal Training Courses #
- If you want to create internal training programs (e.g., Onboarding, Compliance), follow the same steps above and list your own company as the Internal Service Provider.
- For custom courses like onboarding, you can link to internal resources, such as orientation documents or company handbooks, to provide employees with a complete learning path.
5. Save the Course #
- After adding all the details and modules, click Save to create the course.
6. Recommending Courses During Performance Reviews #
- During performance reviews, managers can recommend training courses based on identified skill gaps or development needs.
- Recommended courses will be visible on the employee’s My Training tab but will not be assigned automatically. HR will need to approve and allocate the recommended training manually.
- Once approved, the training course will appear under the employee’s My Training section for completion.
Important Notes: #
- Editing Courses: Any edits or updates made to a course will not apply to historical course assignments. Only future course assignments will reflect any changes.
- Multiple Service Providers: A single course can be offered by multiple service providers, providing flexibility in training options and cost management.
- Internal Courses: For custom internal training (such as onboarding), you can create course content using internal links or files hosted on third-party platforms.
- HR Approval of Training: Even when a course is recommended during a performance review, it will not be automatically assigned. HR must manually approve the recommendation and assign it to the employee.
