HRSimplified provides a streamlined process for employees to track their training progress and upload completed course certificates. HR teams can also monitor certification expiry dates to ensure compliance. Here’s how to manage training completion and certificates in the system.

Steps to Track Training Completion: #

1. Access the My Training Tab #

  • Employees can log into their HRSimplified account and navigate to the My Training tab located in the Employee Dashboard.
  • Under this section, employees will see a list of all their assigned or recommended training courses.

2. Mark Training as Completed #

  • Once an employee has finished a course, they can mark it as Completed by clicking the corresponding button next to the course in their My Training tab.
  • The system will update the status of the course, showing it as completed on both the employee’s and HR’s records.

Steps to Upload Training Certificates: #

1. Upload Certificate Upon Course Completion #

  • After marking a course as completed, the employee can upload their certificate of completion.
  • Click on Upload Certificate next to the completed course.
  • Browse and select the certificate file from your device.
  • Add any additional notes if required (e.g., training completion date, course highlights).
  • Click Save to store the certificate in the system.

2. Attach Multiple Certificates (If Needed) #

  • Employees can upload multiple certificates for the same course (e.g., recurring annual training). The system will keep track of each certificate attached to that course.

3. Set Certificate Expiry Dates #

  • Employees or HR can set an expiry date for certificates that need renewal (e.g., safety training or certifications that expire annually).
  • The system will notify HR when the certificate is about to expire, ensuring that recertification is arranged in time.

Tracking and Monitoring: #

1. HR Monitoring of Training Completion #

  • HR administrators can track training progress and completion under each employee’s profile.
  • The My Training tab within the employee’s profile will show a summary of all assigned courses, their completion status, and any certificates uploaded by the employee.

2. Monitoring Expiry Dates #

  • HR can monitor upcoming certificate expirations through the reporting features in the HR Admin Reporting section.
  • The system will highlight certificates nearing expiration to ensure action is taken to renew them.
  • The system has a dedicated Employee Course Status section that shows all certification status in a single view.

Important Notes: #

  1. Certificate Storage: All certificates uploaded by the employee are stored under their Training History, and HR can access these documents at any time.
  2. Tracking Multiple Courses: Employees can track and upload certificates for multiple courses, even if they are assigned or recommended at different times.
  3. Certificate Expiration Alerts: The system will alert HR admins when an employee’s certification is close to expiration, ensuring they can renew the certification on time.
