Creating a New Survey Template

Creating and customizing survey templates in HRSimplified is simple and flexible. The system offers preloaded templates, or you can create your own survey from scratch. Surveys can be tailored to meet specific HR needs, such as employee well-being checks, exit interviews, or Health & Safety inspections. This guide walks you through the steps to create, customize, and save survey templates for future use.

Steps to Create a Survey Template: #

1. Navigate to the Survey Management Section #

  • Log in to HRSimplified and select Survey Management from the main menu.
  • In the Survey Management window, click the Create New Survey button to start a new survey template.

2. Select a Preloaded Template or Start from Scratch #

  • You can choose to start with a preloaded template from the dropdown list. These templates cover topics like:
    • Exit Interview
    • Employee Burnout Risk
    • Health & Safety Inspections
    • Various Well-being Assessments (e.g., physical, social, emotional, environmental well-being)
  • If none of the preloaded templates meet your needs, you can start from scratch by leaving the template selection blank and building your survey manually.

3. Customize the Template #

  • Whether using a preloaded template or starting fresh, you can add, remove, or edit any questions within the survey.
  • Each survey can include multiple question types, including:
    1. Free Text: For open-ended responses.
    2. Yes/No: For simple binary answers.
    3. Multiple Choice (Likert Scale): Defaulted to Strongly Disagree, Disagree, Neutral, Agree, Strongly Agree, but fully editable to suit your needs.
  • Use the drag-and-drop interface to reorder questions or remove any unnecessary ones.

4. Mark the Survey as Anonymous (Optional) #

  • You can choose to make the survey anonymous by toggling the Anonymous option.
    • When a survey is marked as anonymous, the employee will see this marked on their survey when they open it.
    • Once submitted, the employee can still view their submission, but on the backend (HR’s view), the survey responses will be stored in a section that separates anonymous answers from named responses. This ensures that HR cannot track the identity of those who submitted anonymous surveys, protecting employee privacy.

5. Save the Template #

  • After customizing the survey, click Save Template. You can now reuse this template for future survey assignments.
  • Templates are stored in the Survey Management section and can be easily accessed for any new survey rollout.

Important Notes: #

  • Template Reusability: Once a survey template is created and saved, you can reuse it as many times as needed. Simply select it from your list of saved templates.
  • Anonymous Survey Handling: Even though the employee can see their submission, the system ensures anonymity by separating anonymous responses from named ones in the survey report section.
