Once job postings are created and shared externally, candidates will begin applying for the positions. In HRSimplified, you can easily view and manage applicants through the Recruitment Module, where you can track their progress, process applications, and communicate with candidates at various stages of the recruitment pipeline. Here’s how to manage the process.
Steps to View and Manage Applicants: #
1. Navigate to the Recruitment Module #
- Log in to HRSimplified and select the Recruitment Module from the main menu.
- Click on Job Postings to view your active job listings.
2. View Applicants for a Job Posting #
- Next to each job posting, you’ll find an action button (three dots or similar dropdown icon). Click it and select View Applicants.
- This will open a list of all candidates who have applied for the position.
3. Candidate Overview #
- For each applicant, you will be able to view:
- Name and contact details.
- Date of application.
- Current status of the application (e.g., under review, interview scheduled, etc.).
- Any documents they’ve submitted, such as their CV, cover letter, or any required certificates.
Managing the Candidate Pipeline: #
Once candidates are listed under the job posting, you can begin to move them through the recruitment stages:
1. Processing Candidates #
- To process a candidate, click on their profile. You will have several action options to choose from:
- Reject the candidate if they do not meet the minimum requirements.
- Ask Questions for further clarification about their experience or skills.
- Request Upload of Documents if additional materials are required.
- Invite to Interview to move the candidate forward in the process.
- Create a Note to add internal comments, observations, or feedback on the candidate’s performance during interviews.
2. Viewing Candidate Details #
- For each candidate, you can view detailed information about their application, including:
- Work experience and education.
- Skills and any custom information they’ve provided during the application process.
- This helps you compare candidates before moving them to the next stage.
Conducting Interviews and Adding Notes: #
1. Invite to Interview #
- Once a candidate is selected for an interview, you can use the Invite to Interview option.
- This action notifies the candidate via email and tracks their interview status in the system.
2. Adding Interview Notes #
- After the interview, you can use the Create a Note function to add internal feedback on the candidate’s performance.
- You can also assign a score to the candidate based on criteria such as communication, technical skills, or cultural fit.
3. Tracking Candidate Status #
- As candidates progress through the pipeline, their status (e.g., interview scheduled, under review) will update accordingly. This helps HR and hiring managers track where each applicant is in the recruitment process.
Important Notes: #
- Rejecting a Candidate: If a candidate is rejected, you can send a rejection notification directly from the system.
- Candidate Communication: All communication (e.g., interview invites, document requests) is sent through HRSimplified, helping keep a clear record of all interactions.
- Application Tracking: Each candidate’s application and documents are stored in the system, allowing you to reference them at any time.
