The Asset Management module in HRSimplified allows for the efficient allocation and management of company assets, including physical assets like equipment and soft assets like licenses. Whether you’re assigning assets for the first time or reallocating them, this guide walks you through the steps for managing employee asset allocations.
Steps to Assign Assets to Employees: #
1. Navigate to the Asset Registry #
- Go to HR Administration in the left-side menu.
- Select Asset Management and click on Asset Registry to view all available assets.
2. Locate the Asset to be Assigned #
- In the Asset Registry, locate the asset you want to allocate. Use filters such as Unallocated Assets to quickly find assets ready for assignment.
- Click the Actions button next to the asset and choose Allocate Asset if the asset is unallocated (as shown in the screenshot).
3. Allocate the Asset #
- Once you click Allocate Asset, a new window will appear where you can:
- Select Employee: Choose the employee to whom the asset will be allocated.
- Select Allocation Date: Pick the date on which the allocation becomes effective.
- Click Save to confirm the allocation. The asset will now be marked as Allocated and visible under the employee’s My Assets tab in their dashboard.
4. Reassigning or Deallocating Assets #
- If an asset needs to be reassigned or returned:
- Navigate to the Asset Registry.
- If the asset is already allocated, click Actions and select Deallocate Asset.
- You will be prompted to enter a Collection Date (when the asset is returned) or an Allocation Date (if it is being reassigned to a different employee).
- For transfers between employees, use the Edit button in the Actions menu and change the employee in the Assigned To field.
5. View Asset History #
- Click the View History option in the Actions menu to see the complete history of asset assignments, transfers, and returns.
- This helps track who has been responsible for the asset over its lifecycle.
6. Manage Parent-Child Assets #
- If the asset has any related components (e.g., RAM installed in a laptop), use the View Children option under Actions to see all related child assets.
Important Notes: #
- Allocation and Collection Dates: You can specify exact dates for when assets are allocated or collected, making it easier to manage transfers or returns.
- Audit History: The View History feature tracks all changes, providing transparency and accountability in asset management.
- Parent-Child Asset Relationships: Use parent-child relationships to track smaller parts or components that belong to a larger asset (e.g., peripherals for a computer).
Conclusion: #
HRSimplified’s asset management tools make it easy to assign, transfer, or return assets, keeping your organization’s resources efficiently tracked. By using features like Allocation Dates, Deallocation, and View History, you ensure that assets are managed effectively throughout their lifecycle.
