How to Manage Offer Acceptance and Rejection

After a job offer has been sent to a candidate, HRSimplified tracks the status of the offer and allows you to manage whether the candidate accepts or rejects it. This guide will show you how to handle offer responses and the actions you can take based on the candidate’s decision.

Steps to Manage Offer Acceptance: #

1. Track the Offer Status #

  • Log in to HRSimplified and go to the Recruitment Module.
  • Navigate to Offers under the Recruitment menu. Here, you can view a list of all job offers, both open and closed, along with their current statuses (e.g., pending, accepted, rejected).

2. Candidate Accepts the Offer #

  • If the candidate accepts the offer, the system will update the offer status to Offer Accepted once they have signed the offer letter via the Candidate Portal.
  • The candidate and HR will receive email notifications confirming the offer acceptance.

3. Next Steps After Offer Acceptance #

  • Once the offer is accepted, you can move forward with the onboarding process. In the Recruitment → Offers menu, click on Create Employee next to the accepted offer.
    • This action will convert the candidate’s application into an employee profile, importing all the candidate’s details directly into the system.

Steps to Manage Offer Rejection: #

1. Track Offer Rejection #

  • In the same Offers section, you can also track when a candidate rejects the offer. If they choose to decline, the status will automatically update to Offer Rejected after they respond via the Candidate Portal.

2. Next Steps After Offer Rejection #

  • After a rejection, you have the following options:
    • Re-engage the candidate: If the rejection was due to negotiable terms (e.g., salary or benefits), you can reach out to the candidate to discuss a revised offer.
    • Reject the Candidate: If the offer rejection is final, you can reject the candidate in the system and close their application.

3. Updating the Offer Pipeline #

  • Once an offer has been accepted or rejected, the system will automatically update the Offer Pipeline, keeping your recruitment records accurate and up to date.

Important Notes: #

  • Offer Status Overview: You can filter offers by status (accepted, rejected, pending) in the Offers Menu, making it easier to track multiple job offers.
  • Re-engaging Candidates: If a candidate rejects an offer, it may be worth discussing their concerns before closing their application entirely. Use HRSimplified to manage further communication.
