In HRSimplified, HR teams can send surveys as either anonymous or named. This feature allows flexibility depending on the type of feedback needed. Anonymous surveys protect employee identity, ensuring honest feedback, while named surveys allow HR to track responses by individual employees. This guide explains how to configure these settings and how the system handles responses for each type.

Steps to Configure Survey Anonymity: #

1. Navigate to the Survey Management Section #

  • Log in to HRSimplified and select Survey Management from the main menu.
  • Choose to create a new survey or open an existing template.

2. Enable or Disable Anonymity #

  • When creating or editing a survey template, you will see the Anonymous toggle option at the top of the survey configuration screen.
  • Toggle the switch to enable anonymity if you want to keep respondents’ identities hidden, or leave it off for a named survey.

3. Employee View of Anonymous Surveys #

  • When a survey is marked as anonymous, employees will clearly see this designation when they access the survey under the My Surveys section. This transparency reassures employees that their identity will not be shared with HR or management.
  • Employees will still be able to view and download their submitted surveys after completing them.

How HRSimplified Handles Anonymous vs. Named Responses: #

1. Named Surveys #

  • If anonymity is disabled, the survey will track the employee’s name, and HR or managers can view individual responses in the Survey Management module.
  • Responses are tied to each employee, making it easier to identify who submitted the feedback and track patterns over time.

2. Anonymous Surveys #

  • If anonymity is enabled, the survey responses are completely separated from employee identities. The system protects anonymity by separating responses into two sections:
    1. Named Response Section: Contains responses from non-anonymous surveys, where HR can see both the answers and the employee’s name.
    2. Anonymous Response Section: For anonymous surveys, the system only stores the responses, with no identifiers linking them to any specific employee.
  • This setup ensures that employees can provide feedback without fear of identification, fostering more honest and open responses.

3. Tracking Responses #

  • In the Survey Management section, HR can view the status of both anonymous and named surveys. While named responses can be linked to employees, anonymous survey results will only show the answers, without any indication of who submitted them.

  • Clear Designation: Employees are always notified if a survey is anonymous, ensuring transparency and confidence in the process.
  • Anonymous Feedback Protection: The system is designed to protect employee anonymity fully, ensuring no connection can be made between responses and specific individuals in anonymous surveys.
