Once you’ve created a survey template, the next step is to assign the survey to your employees. The process is straightforward, and HRSimplified allows you to notify employees of new surveys, track their progress, and review completed surveys. This guide will walk you through assigning surveys and managing the survey flow from assignment to completion.
Steps to Assign Surveys to Employees: #
1. Navigate to the Survey Management Section #
- Log in to HRSimplified and select Survey Management from the main menu.
- Here, you’ll see the list of saved survey templates.
2. Choose the Survey Template #
- Select the survey template you want to assign. You can choose a survey you’ve created from scratch or a preloaded template.
- Review the survey to ensure it’s the correct one for your employees.
3. Assign to Employees #
- After selecting the template, choose which employees or groups of employees should receive the survey.
- You can assign surveys to individual employees or to entire departments, teams, or locations. This allows for tailored survey deployment, depending on the nature of the survey (e.g., Health & Safety surveys may be assigned to field employees, while exit interviews are assigned to departing employees).
4. Notify Employees #
- Once the survey has been assigned, the system will automatically notify employees that a new survey is available.
- Employees will receive an email notification and will be able to access the survey through their My Surveys menu.
Employee Interaction with Surveys: #
1. Accessing the Survey #
- Employees will log in to their HRSimplified account and navigate to the My Surveys section under the main menu.
- The assigned surveys will be displayed here, along with their due dates and a prompt to complete them.
2. Completing the Survey #
- Employees can complete the survey by answering each question and submitting their responses. If the survey is marked as anonymous, employees will see this clearly stated on the survey screen.
3. Submission and Download #
- After submitting the survey, employees can view their responses and download the completed survey as a PDF if needed. This feature allows employees to retain a copy of their submissions for personal reference.
Tracking Survey Progress: #
1. View Survey Completion Status #
- As an HR manager or administrator, you can track the completion status of each assigned survey through the Survey Management module.
- A completion tracker shows which employees have completed their surveys and which ones are still pending.
2. Follow-Up for Incomplete Surveys #
- If certain employees haven’t completed the assigned survey by the due date, HRSimplified will allow you to send reminder notifications. This ensures that surveys are completed in a timely manner.
