In HRSimplified, you can schedule interviews, invite internal team members, and add notes and scores for each candidate. This guide walks you through setting up interviews, sending invites, and documenting feedback throughout the process.

Steps to Set Up an Interview: #

1. Invite Candidates to an Interview #

  • Log in to HRSimplified and navigate to the Recruitment Module.
  • Go to the Job Postings section and select the relevant posting.
  • Click on View Applicants to see the list of candidates who applied for the job.

2. Open the Candidate Modal #

  • Select the candidate you want to invite for an interview.
  • In the candidate modal, click the Invite to Interview button. This will open a new modal to configure the interview details.

3. Set Up the Interview #

  • In the Interview Setup Modal, follow these steps:
    • Select Interview Participants: Choose the employees from your company who will be part of the interview panel (e.g., hiring managers, HR executives).
    • Add Interview Note: Write a note in the Notes field for details such as:
      • Location/Branch where the interview will take place.
      • Any specific instructions (e.g., security arrangements, parking information).
    • Set the Interview Time: Choose the date and time for the interview.

4. Send the Interview Invite #

  • Once the details are filled out, click Send Invite. The system will automatically send an invitation email to:
    • The candidate with the interview details.
    • The selected company employees who will participate in the interview.
  • The email includes an ICS file that recipients can use to add the interview to their calendars.

Managing Feedback and Scores During the Interview: #

1. Capture Interview Notes #

  • During or after the interview, each participant from the company can log into HRSimplified and access the candidate’s profile.
  • Click on Create a Note to record feedback about the interview. This allows interviewers to provide qualitative input on the candidate’s performance.

2. Assign a Score #

  • Interviewers can also assign a score to the candidate based on their performance. There is no predefined limit for the scoring system in HRSimplified, so companies can define their own scoring policy.
    • For example, you can use a 1-10 scale or any other format that suits your company’s evaluation system.

3. View the Average Interview Score #

  • After the interview, the system calculates the average score from all interviewers.
  • The average score will be displayed on the Job Posting Overview screen where all candidates for the position are listed.
    • You can sort candidates by their average interview score, making it easier to identify top-performing candidates based on interview feedback.

Important Notes: #

  • ICS File for Calendar: Both the candidate and company employees receive an email with an attached ICS file for easy calendar integration, ensuring all parties are reminded of the interview.
  • Collaborative Feedback: All feedback and scores provided by the interview panel are stored in the system, making it easy to refer back to the evaluations when deciding on the next steps.
  • Flexible Scoring System: HRSimplified allows your company to customize its own scoring format for candidate evaluations, ensuring that the recruitment process aligns with your internal policies.
