How to Assign and Manage Performance Review Schedules

HRSimplified allows managers to easily assign performance review templates to employees and manage review schedules through automated notifications. In addition, managers have access to the My Insights section, which offers a real-time view of upcoming and late performance reviews, employee engagement data, and more. Here’s how to assign and manage performance review schedules while taking advantage of these insights.


Steps to Assign a Performance Review Template #

1. Access the Performance Templates #

  • Log in to HRSimplified and navigate to the Performance Management module.
  • Click on Templates to access available performance review templates.

2. Select a Template #

  • Choose the template you wish to assign to an employee or group of employees, ensuring that the KPAs, KPIs, and OKRs are specific to the role.
  • Click Assign Template to proceed.

3. Select Employees #

  • Choose individual employees or a team to assign the performance template.
  • You can also select peers for the peer review process at this stage.

Managing Performance Review Schedules #

1. Set the Review Duration #

  • Specify the review duration when assigning the template. Options include:
    • Annual Review (unlocks after 11 months)
    • Half-Yearly Review (unlocks after 5 months)
    • Quarterly Review (unlocks after 2 months)
    • Monthly Review (unlocks after 2 weeks)
    • Weekly Review (immediately available)

2. Automated Email Notifications #

  • HRSimplified automatically sends email notifications to employees, peers, and managers at critical stages:
    • When a review becomes available.
    • When a review is nearing its deadline.
    • After each step in the process (self-assessment, peer review, manager review).

3. Monitor Review Progress #

  • Monitor the progress of all assigned reviews in the Assessments section. You can check who has completed their part of the review and send additional reminders if necessary.

My Insights: Manager’s Dashboard #

HRSimplified My Insights screen that contains all the important data about the managers employees.

1. Access the My Insights Section #

  • Managers can access My Insights in the Performance Management module (this feature is not available to employees). My Insights provides a detailed overview of various performance and engagement metrics for your team.

2. Key Features in My Insights #

  • Late and Upcoming Performance Reviews: Easily view which performance reviews are past due or coming up, ensuring timely follow-ups.
  • Upcoming Leave: Track employee leave requests that are pending or scheduled, helping you plan around absences.
  • Employee Engagement Section: This section provides detailed information on each employee, including:
    • Job Titles: View job titles and track when the last promotion or salary increase occurred.
    • Last Leave Request: See the most recent leave request submitted by the employee.
    • Last Paid Out Claim: View the latest claim that has been processed for the employee.
    • Leave Liability: Get an overview of the annual leave liability, showing how many leave days employees have accrued, aiding in workforce planning and cost projections.

Managing Peer Reviews and Feedback #

1. Assigning Peers for Review #

  • When assigning a performance template, you can select peers who will participate in the review process, providing a 360-degree review.

2. Peer Review Notifications #

  • Peers receive email notifications when it’s time to complete their reviews and can access the Peer Assessments section from their dashboard.

3. Tracking Peer Review Completion #

  • Monitor the status of peer reviews and send reminders if necessary. Ensure that all reviews are completed on time.
